Executive Assistant / Business Support to CHRO & General Counsel (all genders)
Your future tasks:
In this role, you will support both the Chief Human Resources Officer and the General Counsel in a highly trusted and confidential executive support function. You will act as a reliable coordination point across leadership, HR, Legal, internal stakeholders and external partners, ensuring that priorities are well structured, information flows smoothly, and key topics are followed up consistently.
Your role combines classic Executive Assistant responsibilities with broader business support across HR and Legal-related processes:
- You prepare meetings, agendas, presentations, briefing documents, reports and follow-up materials for leadership, HR, Legal, board-related and management meetings.
- You support the preparation and coordination of HR- and Legal-related processes, projects and recurring governance topics.
- You ensure reliable information flow and clear communication across different stakeholders, while handling sensitive topics with the highest level of confidentiality.
- You take ownership of administrative and process-related tasks, helping to improve structure, transparency and efficiency in daily ways of working.
- You contribute to special projects and cross-functional initiatives where HR, Legal, governance or organizational topics intersect.
- You manage and coordinate complex calendars, meetings, travel arrangements and business activities for the CHRO and General Counsel, ensuring well-structured and efficient schedules.
Your profile:
- >5 years of experience as an Executive Assistant, ideally supporting C-level executives, senior leadership or board-level stakeholders.
- You bring strong experience in coordinating complex schedules, meetings, travel, communication flows and confidential executive-level topics.
- You are comfortable working in a dynamic environment with sensitive information and high expectations regarding discretion, reliability and professionalism.
- Experience in HR, Legal, Compliance, Governance or an international corporate environment would be a strong advantage.
- You are highly organized, structured and proactive, with the ability to prioritize effectively and keep track of multiple topics at the same time.
- You have strong communication skills and feel confident interacting with senior internal and external stakeholders.
- You are able to prepare high-quality presentations, meeting materials, briefings and documentation with a strong eye for detail.
- You enjoy bringing structure into complex topics and supporting leaders not only administratively, but also through thoughtful coordination and process ownership.
- You are confident using MS Office, especially Outlook, PowerPoint, Word and Excel, as well as collaboration tools such as Microsoft Teams.
- You are fluent in English, both written and spoken; German language skills are a plus.
