Job Description:

DEUTSCH

• Vorbereitung, Prüfung und Verwaltung von Verträgen, Geheimhaltungsvereinbarungen (NDAs), Vertragsänderungen sowie weiteren juristischen Dokumenten unter Verwendung freigegebener Vorlagen und Prozesse
• Pflege von Vertragsdatenbanken, Rechtsakten und Dokumentenmanagementsystemen unter Sicherstellung von Genauigkeit, Vollständigkeit und Versionskontrolle
• Koordination von Vertragsabschlussprozessen, einschließlich Genehmigungen, Unterschriften, Verlängerungen sowie Anforderungen an die Dokumentenaufbewahrung
• Unterstützung des Legal-Teams bei Rechtsrecherchen, der Erstellung von Dokumenten sowie der Beschaffung von Informationen für rechtliche Angelegenheiten und Projekte
• Unterstützung bei gesellschaftsrechtlichen und Corporate-Governance-Aktivitäten, einschließlich der Vorbereitung von Unterlagen für Gremien, Unternehmensmeldungen und der Pflege gesellschaftsrechtlicher Dokumentationen
• Überwachung vertraglicher Verpflichtungen, wichtiger Fristen und Compliance-Anforderungen sowie proaktive Nachverfolgung mit relevanten Stakeholdern
• Koordination der Kommunikation mit externen Rechtsanwaltskanzleien, Notaren, Behörden und weiteren externen Partnern
• Unterstützung von Compliance-Aktivitäten durch die Pflege von Richtlinien, Dokumentationen, Schulungsunterlagen und prüfungsrelevanten Informationen
• Unterstützung bei der Bearbeitung von Ansprüchen, Streitigkeiten und Rechtsverfahren durch die Organisation von Unterlagen und die Nachverfolgung erforderlicher Maßnahmen
• Enge Zusammenarbeit mit den Bereichen Legal, Vertrieb, Einkauf, Finanzen und HR, um effiziente administrative und operative Unterstützung für rechtliche Prozesse sicherzustellen.

• Prepare, review and administrate contracts, NDAs, amendments and other legal documents using approved templates and processes
• Maintain contract databases, legal records and document management systems, ensuring accuracy, completeness and version control
• Coordinate contract execution workflows, including approvals, signatures, renewals and document retention requirements
• Support the legal team with legal research, document preparation and the collection of information for legal matters and projects
• Assist with corporate secretarial and governance activities, including board documentation, corporate filings and maintenance of corporate records
• Monitor contractual obligations, key deadlines and compliance requirements, proactively following up with relevant stakeholders
• Coordinate communications with external law firms, notaries, authorities and other third-party partners
• Support compliance activities by maintaining policies, records, training documentation and audit-related information
• Assist with the management of claims, disputes and litigation matters by organizing documentation and tracking actions
• Partner with Legal, Sales, Procurement, Finance and HR to provide efficient administrative and operational support for legal processes

Required Skills and Education

DEUTSCH

• Erfolgreich abgeschlossenes Bachelorstudium im Wirtschaftsrecht (LL.B.), eine abgeschlossene Ausbildung als Rechtsanwaltsfachangestellte/r oder eine vergleichbare juristische Qualifikation
• Mindestens 2 Jahre Berufserfahrung in einer Anwaltskanzlei, einer Unternehmensrechtsabteilung oder im Compliance-Umfeld
• Praktische Erfahrung in der Verwaltung von Verträgen, Rechtsakten, Gesellschaftsunterlagen und Genehmigungsprozessen
• Fundierte Kenntnisse in der juristischen Administration, im Dokumentenmanagement sowie im Umgang mit Vertraulichkeitsanforderungen
• Sicherer Umgang mit Microsoft Office (Word, Excel, PowerPoint) sowie geschäftsrelevanten KI-Anwendungen
• Erfahrung mit Contract Lifecycle Management (CLM)- oder Dokumentenmanagementsystemen von Vorteil
• Ausgeprägte Organisationsfähigkeit sowie nachweisliche Erfahrung im Management mehrerer Fristen und hoher Dokumentenvolumina mit großer Sorgfalt und Genauigkeit
• Starke Kommunikationsfähigkeiten und Erfahrung in der Zusammenarbeit mit internen Stakeholdern, externen Rechtsberatern, Notaren und Behörden
• Proaktive, zuverlässige und selbstständige Arbeitsweise bei gleichzeitig hohem Qualitäts- und Genauigkeitsanspruch
• Verhandlungssichere Deutschkenntnisse sowie gute Englischkenntnisse in Wort und Schrift (Business Level)

ENGLISH

• Either a successfully completed Bachelors degree in Business Law (LLB), completed training as a Legal Assistant or a comparable legal qualification
• 2+ years of experience in a law firm, corporate legal department or compliance function
• Hands-on experience managing contracts, legal records, corporate documents and approval workflows
• Strong knowledge of legal administration, document management and confidentiality requirements
• Proficient in Microsoft Office (Word, Excel, PowerPoint) and business related AI-applications
• Experience with contract lifecycle management (CLM) or document management systems is an advantage
• Highly organized with proven ability to manage multiple deadlines and high document volumes with excellent attention to detail
• Strong communication skills and experience working with internal stakeholders, external counsel, notaries and authorities
• Proactive, reliable and able to work independently while maintaining a high level of accuracy
• Fluent German and good business-level English (written and spoken)
